Important Terminology

Throughout IDEAS Property Clerk Enterprise, common Property Management Accounting software terminology is used. It is important to understand the terminology to ensure the software can be used to its full potential. This should also help in understanding how the software can be applied in your business.

Terminology used throughout IDEAS Property Clerk Enterprise.

Bank Deposit - Money that will be deposited into the bank account for a specific period of time.  Usually, Bank Deposits occur on a daily or weekly basis.
Bill - A Bill is an invoice that that you or the property you are managing has received from a vendor indicating the amount owed for products or services.
Check Stock - A check stock is the term used to identify a Check Book or Checking Account.  Its main purpose is to allow MICR checks to be printed from Property Clerk Enterprise. Some of the more notable attributes are the Company Information (i.e. the company that appears on the check), bank information (i.e. bank institution and address), MICR settings (i.e. the bank code that appears on the check) and the chart of account bank account associated with the check stock.  Every property setup in the system must have a check stock assigned to the property.
Client - Any person that a fee is charged to in return for services provided. More commonly, a client is known as a tenant or condominium owner.  Client types can be customized within the software.
Grid - A Grid consists of rows and columns of data.  Grids are used throughout IDEAS Property Clerk Enterprise to present the data in an easy to read format.  Examples of Grids are Client Lists, Vendor Lists, and a number of lists of data.  Please note that the Grids used in the software have many powerful features that are explained in the Navigation and Customizations section of this help file.
Invoice - An invoice is any charge applied to a client in the software. For accounting purposes, an invoice is associated with the Accounts Receivable module.
Job - A Job is a usually a maintenance or a construction job that is contracted to a vendor. Usually a Budget is provided for the job and then the actual contract amount and bills are tracked towards the job.
Management Fee - A Fee charged to the owner of the property for services provided.
Module - A module is a specific section of the IDEAS Property Clerk Enterprise Software.  Examples of Modules include: Manage Property, Client Module, Wok Order Module, Pay Bills Module and many more.
Owner Payment - When a Check is Printed to the owner of the property.  IDEAS Property Clerk Enterprise Owner Payment module will automatically create Bills that will be used to create the checks.  All checks in IDEAS Property Clerk Enterprise are generated by paying bills.
Recurring - Any transaction that occurs on a regular basis where the amount remains the same each time.  Examples include: A Client's monthly rent, monthly parking, or a specific bill that needs to be payed on a monthly basis.
Special Assessment - A Special Assessment is a charge that is assigned to many owners/clients of a Condominium Property usually based upon their ownership percentage.
System Administrator - The person assigned the responsibility of having full access to all system features including the ability to add/remove users and provide security access for the users.
Vendor - Any person or company that may provide products or services to the property.
Work Order - A Work Order is an internal document used to track maintenance related items.
